The Bureau of Fire Protection (BFP) values and respect individual’s fundamental rights of privacy and recognizes its inherent obligation to ensure that personal data in its information and communication systems are secured and protected. In processing personal data, the BFP adheres to the principles of transparency, legitimate purpose, and proportionality, and commits that personal data is collected, processed, stored, and disposed in accordance with Republic Act No. 10173 (R.A. 10173), otherwise known as the Data Privacy Act of 2012 (DPA), its Implementing Rules and Regulations (IRR), and other related issuances of the National Privacy Commission (NPC).
COLLECTION AND USE OF DATA
HRIPIS collects only the personal and sensitive information necessary for legitimate human resource management purposes, including but not limited to:
• Active/Retired BFP Personnel records and service profiles;
• Leave, and performance data;
• Training, awards, disciplinary records, and
• Medical and Dental records

DATA SHARING AND DISCLOSURE
Personal data shall not be shared, disclosed, or transferred to unauthorized individuals or entities. Access to information is restricted to authorized BFP personnel with legitimate official functions, subject to confidentiality agreements and the principle of need-to-know.
DATA PROTECTION AND SECURITY MEASURES
Appropriate organizational, physical, and technical security measures are implemented to protect HRIPIS data from loss, unauthorized access, alteration, destruction, or disclosure. These include:
• Role-based user access controls;
• Encryption and secure transmission of data;
• Regular system monitoring, audit logs, and backups; and
• Compliance with government Information Technology security policies
RIGHTS OF DATA SUBJECTS
Data subjects whose information is processed through HRIPIS have the following rights pursuant to the Data Privacy Act of 2012:
• The right to be informed of the purpose and extent of processing;
• The right to access their data upon request;
• The right to be informed of the purpose and extent of processing;
• The right to object to processing under lawful grounds;
• The right to rectification of inaccurate or incomplete data;
• The right to erasure or blocking of unlawfully obtained or unnecessary data;
• The right to data portability; and
• The right to complain to the National Privacy Commission. Users must respect and facilitate the exercise of these rights and must be in coordination with BFP 6.
Requests may be filed with the BFP Data Protection Officer through official channels.
RETENTION AND DISPOSAL
Personal data shall be retained only for as long as necessary to fulfill the purposes for which they were collected, or as required by applicable laws and regulations. Secure disposal procedures are followed after the retention period.

The following terminology applies to these terms and conditions, the Privacy Statement, the Disclaimer Notice, and any or all Agreements:
1. “System” or “HRIPIS”
- refers to the Human Resource Integrated Personnel Information System developed and managed by BFP 6.
2. “User,” “You,” or “Your”
- refers to authorized personnel accessing HRIPIS, including BFP 6 employees and designated administrative users.
3. “BFP 6,” “We,” or “Us”
- refers to the Bureau of Fire Protection Region 6 and its authorized system administrators.
4. “Personal Data”
- refers to any personal, employment, or sensitive information processed or stored in HRIPIS.
5. "Party," "Parties," or "Us"
- refer to both parties, the authorized personnel accessing HRIPIS, including BFP 6 employees and designated administrative users. and BFP 6, i.e., those users accessing this website and availing of services, or any authorized person of the Government of the Philippines to do so.
Any use of the above terminology or other words in the singular, plural, capitalization, and/or he, she, or they is taken as interchangeable and therefore as referring to the same. All the terms and conditions referred to hereto and hereafter are strictly and only for availing of the services of HRIPIS online and not any other service.
AUTHORIZED USE
Access to HRIPIS is strictly limited to active BFP 6 personnel for official and lawful functions only. These include the viewing and updating of individual personnel records, training, and service details, generating personnel reports, HR analytics, and administrative planning. Any unauthorized access, sharing of login credentials, or manipulation of records is strictly prohibited and subject to administrative, civil, or criminal penalties. All data collected is used solely for internal, official, and lawful purposes related to personnel administration, workforce planning, and organizational development.
USER RESPONSIBILITY
• Users must keep their usernames and passwords confidential.
• Users are responsible for all activities performed under their account.
• Any unauthorized access, misuse, or tampering with data is subject to administrative, civil, and/or criminal liability under relevant laws and regulations.
DATA ACCURACY
Users are expected to ensure that any information they provide or update in HRIPIS is accurate, truthful, and in accordance with official records.
DATA PRIVACY AND CONFIDENTIALITY
Personal and sensitive information contained in HRIPIS is protected under the Data Privacy Act of 2012. Users are prohibited from disclosing, copying, or sharing data from the system unless duly authorized.
MONITORING AND AUDIT
BFP 6 reserves the right to monitor all HRIPIS access and user activity for purposes of system security, data integrity, and compliance verification. Audit logs shall be maintained and reviewed regularly. Users consent to such monitoring and understand that misuse or anomalies may be grounds for investigation and sanction.
SYSTEM AVAILABILITY
BFP reserves the right to perform maintenance, updates, or enhancements to HRIPIS at any time, which may temporarily affect availability. The BFP is not liable for any inconvenience or data loss due to system downtime.
OWNERSHIP OF HRIPIS DATA
All data and information accessed, processed, stored, or transmitted through HRIPIS, including but not limited to personal and sensitive information, employee service data, leave, audit logs, and system-generated data, shall remain the sole and exclusive property of the Bureau of Fire Protection 6 (BFP 6).
AMENDMENTS
These terms and conditions may be revised or updated at any time by the BFP 6 without prior notice. Continued use of HRIPIS constitutes acceptance of the revised terms and conditions.
By continuing to access or use HRIPIS, I hereby declare the following:
1. I hereby declare that I have read, understood, and voluntarily consent to the Terms and Conditions for the use of the Human Resource Integrated Personnel Information System (HRIPIS) of the Bureau of Fire Protection Region 6.
2. I expressly consent to the collection, processing, retention, and lawful use of my Personal Data within the HRIPIS for human resource and personnel management purposes, by the Data Privacy Act of 2012 (Republic Act No. 10173) and applicable laws.
3. I acknowledge that all information I may access, generate, or process through HRIPIS is confidential and remains the sole property of BFP 6. I undertake to use such data only for its authorized purpose, to protect its confidentiality, and to abide by applicable data protection policies and procedures.
